Who we are

Total Medical Design is a trading name of Total Marketing Australia Pty Ltd (ABN 51 132 707 138), based in Pottsville NSW 2489. We design websites and provide marketing services for medical and healthcare practices. In this policy, “we”, “us” and “our” mean Total Medical Design.

We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We may collect:

• Contact details: your name, practice name, email address and phone number.
• Enquiry details: what you tell us about your practice and project, through our forms, by email or by phone.
• Client account details: billing details, project information and logins you share with us so we can do the work.
• Website usage information: pages visited, time on site, device and browser type, approximate location and how you arrived at our site.
• Call information: if you call us from one of our Google ads, the call’s time, length and the caller’s area code.

We don’t ask for health information about you. Please don’t send us patient information through our forms.

How we collect it

We collect personal information when you:

• fill in a form on our website
• call or email us, or meet with us
• become a client
• visit our website (through cookies and similar tools, see below).

Why we collect it

We use personal information to:

• respond to your enquiry and arrange a consultation
• prepare quotes and deliver our services
• manage our client relationships, billing and support
• send you information about our services, where you’d reasonably expect it or have agreed to it
• understand how people use our website and improve it
• measure how well our advertising works.

You can opt out of marketing emails at any time using the unsubscribe link or by contacting us.

Cookies, analytics and advertising

Our website uses cookies and similar tools, including:

• Google Analytics: to understand how visitors use our site.
• Google Ads and Google Tag Manager: to measure enquiries and calls from our ads, and to show our ads to people who have visited our site.
• Meta Pixel: to measure our Facebook and Instagram advertising, and to show our ads to people who have visited our site.
• Cloudflare: to protect our site and forms from spam and attacks.

Who we share it with

We don’t sell personal information. We only share it with:

• service providers who help us run our business, such as our website host (NewSprout), email (Google), analytics and advertising (Google and Meta), website security (Cloudflare), quoting (Qwilr) and project management (Basecamp)
• our professional advisers, such as accountants and lawyers
• anyone we’re required or authorised to share it with by law.

Overseas disclosure

Some of our service providers, including Google, Meta, Cloudflare, Qwilr and Basecamp, store or process information outside Australia, including in the United States and other countries where they operate. We take reasonable steps to make sure these providers protect your information.

Automated decisions

We don’t use computer programs to make decisions that significantly affect your rights or interests using your personal information.

How we keep it secure

Our website is hosted by NewSprout in an ISO 27001 certified data centre in Sydney, Australia. We store personal information in secure systems, limit access to people who need it, and use encryption (SSL) on our website. When we no longer need personal information, we take reasonable steps to delete it or de-identify it.

Client websites we host

If we host or maintain a website for a client, the client is responsible for the personal information collected through their site. We handle that information only on the client’s instructions and to provide our services.

Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We’ll respond within 30 days. If we can’t give you access, we’ll explain why.

Complaints

If you’re concerned about how we’ve handled your personal information, please contact us first. We’ll acknowledge your complaint within 7 days and aim to resolve it within 30 days.
